How to do an Eshot

The following will guide you through the process of how to do an Eshot.

STEP 1
First go to the customer section on the system as shown (you can also do this in suppliers or prospects if you wish).

Then click report export in the bottom left of the customer database.

Then click contacts at the bottom left of the reporting area (you can raise the E-shot export for companies on this section if you wish).

Now you will see this screen from here you can select the content you want to export.

Now you will see this screen from here you can select the content you want to export.

To do this click the options form the list (for E-shots you need to add at least the Name.

Next you can save the export information if you want to use this again. To do this click the blue floppy disk at the top of the screen then you will see this box. Enter a file name and click the blue tick to save.

When you are ready to create your export file click the export button on the bottom right of the screen as shown.

Then you will see this screen make sure E-shot is ticked then click the export button on the bottom right of the screen as shown.

Your export will process then you will see this screen.

The following information will show you how to create plain text E-shots. If you would like to do an HTML E-shot please skip to step 21.

First to create your E-shot click the blue tick on the right hand side of the screen.

Now you will see the E-shot maintenance screen.

First you need to enter your E-shot code and name in the places shown.

Then enter the subject of the E-shot.

Using the green plus you can attach files to your E-shot (this is optional)

Now click the plain text tab at the top left of your screen as shown.

Enter your E-shot test in the text box that says message as shown.

When complete click the blue tick on the right hand side to save your E-shot.

This is how your E-shot will look in the E-shot list.

The following information will show you how to create HTML E-shots. If you would like to do an plain text E-shot please go back to step 11.

First to create your E-shot click the blue tick on the right hand side of the screen.

Now you will see the E-shot maintenance screen.

First you need to enter your E-shot code and name in the places shown.

You need to make sure that the HTML radio button is active as shown.

Then enter the subject of the E-shot.

Using the green plus you can attach files to your E-shot (this is optional).

Then click the HTML tab at the top left of the screen as shown.

Click the file at the right hand side to brows for your HTML file that you wish to attach to the E-shot.

If you click this button it allows you to view the HTML you are sending.

If you click this button you can create a HTML file.

When complete click the blue tick on the right hand side to save your E-shot.

This is what your E-shot will look like in your E-shot list.

To send the E-shot first make sure the E-shot you want to send is highlighted then click the send E-shot button at the bottom left of the screen.

You will now see this screen to brows for your export file that you create earlier click the file on the right hand side as shown.

Then click generate to import in the email information.

At this point by clicking the recipient’s button you can go through your recipients list and delete any who you don’t want to send the E-shot to.

Once happy with your recipients list click send as shown.

If sent successfully you will see the E-shot complete.

extra info
On step 34 if the send E-shot button is greyed out this means that you have no email settings in the E-shot configuration settings. To to activate the send E-shot button you need to enter the following outgoing settings:
  • SMTP Outgoing Server
  • Server Port
  • Email Username
  • Email Password
If you don't know the above information you need to contact you external IT company or your email provider and they will give you the information to enter for the above settings.
